1. When is registration for 2023 Summer Camps?

Early Registration for families who participated in any of our 2022 Summer Camps (licensed and non-licensed) and families eligible for free and reduced lunch program ends Friday, March 10 at 5:00 p.m. 

*The Free and Reduced Lunch rate only applies to licensed programs.

Open Registration for all families for all camps begins Tuesday, March 14 at 8:30 a.m. 

2. How do I register?

Online: WebTrac is PRCS’s online registration system. Before your camp registration date, new households should create an account or existing households should check to see if they can login. Visit www.loudoun.gov/webtrac or contact PRCS if you need help: 703-777-0343 or [email protected] 

In Person: You can register in person at PRCS sites or visit PRCS Main Office at 742 Miller Drive, Leesburg, VA 20175

If PRCS starts to receive a high-volume of users during the first week of registration, we may implement a Virtual Waiting Room for our WebTrac customers. Once you have entered the Virtual Waiting Room, you will retain your place in line. Rest assured that you keep your place in the Waiting Room line even if your phone goes to sleep, you lose your internet connection, or you close the Virtual Waiting Room page. When you return to the page, you will see your updated progress in the line.

3. If my child attended camp last year, is there an early registration date for returning campers?

Yes, your child would be eligible for early registration starting Tuesday, March 7 at 8:30 a.m. – Friday, March 10^th. (Note: for Early Registration. late in the day, we request that you please arrive by 4:30 p.m., to allow time for processing and any additional forms that may still need to be filled out before the doors lock at 5:00 p.m.).

4. If one of my children was in the summer camp program last year, would my other child also be eligible for early registration?

Yes, your other child would be eligible for early registration on Tuesday, March 7 starting at 8:30 a.m. – Friday, March 10 at 5:00 p.m. The child must be added to your WebTrac household account prior to the start of early registration.  

(Note: For early registration, we request that you please arrive by 4:30 p.m. to allow time for processing and any additional forms that may still need to be filled out before the doors lock at 5:00 p.m.).

5. Where can I find a camp guide?

The PRCS Summer Camp Guide is available at loudoun.gov/camps, loudoun.gov/activityguide or pick up a hardcopy in PRCS centers, park offices, and libraries.

6. What are the required camp forms I need to complete?

You will receive an email with a link to the forms when you register. If you do not receive this email, the forms can be completed by visiting PRCS Licensed Programs Registration.

7. What is your policy on food containing nuts?

While we are not a "nut-free" center, we strongly discourage the bringing of food containing nuts for the safety of known and unknown nut allergies in other children in the camp. If your child has a nut or other allergy, please make staff aware.

8. Should I send a reusable water bottle to camp with my child?

Yes, all campers should bring a refillable water bottle daily.

9. What happens if I have a question that is not addressed here?

10. What is your refund or cancellation policy?

Program Refunds & Cancellations

If you need to cancel a class/program registration, and you make the request 15 or more days before the start date, a full refund, MINUS a 15% administrative fee (maximum of $15) or the program-specific deposit, will be offered. If you cancel a class/program registration 14 or fewer days before the start date,  a refund minus the non-refundable deposit, minus 50% of the balance per item canceled. Cancellation requests must be submitted in writing and should be dated and sent by email, fax, or mail directly to the facility manager or program manager offering the class/program.  

Our goal is to ensure quality programs. If you are dissatisfied with the quality of a class/program in which you are currently enrolled, you may request a refund according to policy.  Refund requests must be submitted in writing and include an explanation of why the participant is disappointed with the quality of the particular class/program. The written request should be dated and sent by email, fax, or mail directly to the location manager or program manager offering the class/program. If you are unsure whom to contact, please call our main office at 703-777-0343 and someone will direct you to the appropriate manager.  Only written requests will be accepted. The amount of any refund will be prorated based on the number of remaining class/program sessions.   

The Department reserves the right to cancel or change a class or activity due to insufficient enrollment or other reasonable cause. A full refund (including any applicable registration fee) will be offered.  

11. Why have I been placed in a Virtual Waiting Room during Early Registration or Open Registration?

If there is a high volume of use on PRCS WebTrac prior to 8:30 a.m. on Tuesday, March 7, or during open registration prior to Tuesday, March 14 at 8:30 a.m., you may be placed into our Virtual Waiting Room when registration begins and will be moved and assigned a place in the queue. The Waiting Room will help ensure a smooth registration experience. Customers who access the registration site after the registration process has begun will be placed at the end of the line behind you.

If you are accessing this site for a non-summer camp-related activity or program, you are welcome to remain in the Waiting Room or try again later.

12. What if my child is a member of multiple household account numbers?

Make sure to use the household account number used from Summer Camps 2022 to be eligible for early registration.
